2nd Bulletin

The 2009 Europhysics Conference on High Energy Physics, a biennial conference organized by the High Energy and Particle Physics Division of the European Physical Society, will take place in Kraków from July 16 to July 22, 2009, at the Auditorium Maximum of the Jagiellonian University.

The Conference is organized by the Henryk Niewodniczański Institute of Nuclear Physics PAN, Jagiellonian University, AGH University of Sciences and Technology and Polish Physical Society.

General Programme

The on-site registration will start on Wednesday afternoon, July 15, on the premises of the Auditorium Maximum.
The first three days (starting on Thursday, July 16) of the conference are reserved for parallel sessions and the last three days (starting on Monday, July 20) for plenary talks. There will also be a poster session. A joint EPS- ECFA meeting will take place on Saturday afternoon, July 18. Sunday, July 19, is reserved for excursions.

In addition, a special session for Polish teachers and a public lecture of a prominent scientist are planned.

The topics for the parallel sessions coincide with the topics for abstract submission (see the list below). Detailed programme will be given after the selection of abstracts.

Abstract Submission

After creating the Indico account the participant may submit an abstract. The procedure for submitting an abstract is given at http://hep2009.ifj.edu.pl/abstract.php. The conveners of each session will select abstracts for a talk or a poster. They may also suggest that some interesting abstracts, not selected for an oral presentation, may be presented as a poster during the poster session.

The submitter must select at least one (no more than three) of the parallel sessions from the list:

Conference venue

The conference venue will be the Auditorium Maximum of the Jagiellonian University, which is a modern lecture theatre complex, located close to the historical centre of the city and the Central Station. It is also close to most of the hotels and major city attractions.

Registration and Conference fee

The registration has already been opened. For the registration, abstract submission, and general program agenda the CDS Indico software is used. The registration will be closed on June 30.

* There are quick changes of the exchange rates recently. Therefore, the price in Euro may change.

The conference registration fee includes additional costs of organizers for transferring money.

The conference fee will cover conference materials, welcome reception, coffee breaks, conference dinner, concert, web-published conference proceedings. It will not include accommodation, lunches, and excursions. The conference fee can be paid by bank transfer or credit card.

Accompanying persons are entitled to attend the Welcome Reception and Concert.

Cancellation policy

Any cancellation of the registration must be sent in writing to the Conference Secretariat.

Accommodation

It is very difficult to find a vacant room at hotels in the city centre in summer. This forced us to set a very early deadline for hotel reservation (May 8, 2009). Therefore, we urge you to make hotel booking and (obligatory!) hotel deposit payment as soon as possible. The organizers have made a preliminary booking of a number of rooms in several hotels near the conference site. The Jagiellonian University Events Office is responsible for the hotel reservation. A map with the exact location of the hotels is available on the conference website under the "Accommodation". Lower-cost accommodation for younger scientists and students is also available but the number of rooms is limited.

Accompanying exhibition

The conference committee organizes an exhibition of products from the areas related to physics research: electronics, computing, cryogenic, mechanics, instrumentation and other industry. The achievements of the editors and publishers, both purely scientific and popularizing science, as well as all kinds of didactic tools, toys and gadgets based on physical effects will be also presented.
Details concerning the Exhibition can be found on the Conference website. Please, spread this information among collaborating institutions and publishers.

Social Events

A number of social events have been planned as described in detail at http://hep2009.ifj.edu.pl/events.php. All participants are warmly invited to attend the Welcome Reception at the Auditorium Maximum of the Jagiellonian University on Wednesday afternoon, July 15. Excursions (also for accompanying persons) are planned for Sunday, July 19, the day which is free of scientific sessions. The reservation of the offered tours can be made via the Orbis Travel Agency (more information can be found on the conference website). On Thursday, July 16 and Friday, July 17 (from 8 am to 4 pm) the travel agency representative will be present at the conference venue and can arrange additional tours on request. Monday evening, July 20 is reserved for the concert of Capella Cracoviensis.
"Capella Cracoviensis" is a chamber choir and symphony orchestra playing classical and contemporary music. The Social Program will end with the Conference Dinner on Tuesday, July 21.

Travel

Krakow is located in the Central Europe. It can be reached by plane, train, bus or car.
There are direct flights to Krakow airport from several European cities. The airport is located about 15 km from the city centre. It can be reached by taxi, public bus or quick railway line. Another option is to fly to Warsaw airport and continue to Krakow via train which runs almost every hour in the mornings and late afternoons. The trip takes about 3 hours and the railway station is in the city centre. One could also fly to Katowice-Pyrzowice airport and take a bus to Krakow. The trip takes about an hour.

Visa information

Conference participants are requested to familiarize themselves with visa requirements well in advance of the conference. All relevant information can be found on the website of the Ministry of Foreign Affairs of the Republic of Poland. A letter of invitation can be provided upon request for the registered conference participants. Please take visa processing time into account.

The person applying for the official invitation letter is expected to work in the field of high-energy physics. In doubtful cases we may ask for additional information.
